JOB DESCRIPTION
JOB TITLE: Building and Zoning Department Administrative Assistant
DEPARTMENT: Building Inspection/Zoning Department/Code Enforcement
TERMS:
(1) Part-time; Other hours as required; Possible full-time employment after six-month probationary period
(2) Hourly rate negotiable
(3) Non-exempt position
(4) Non-Union employee
SUPERVISION: Building Code Official and Township Manager
Summary of Duties
Under supervision, performs a variety of administrative and clerical duties in support of the Township’s local Code Enforcement and Zoning Department.
Essential Functions and Responsibilities
A. Processes or assists in the processing of all required Township permits that have been approved by the Building Code Official. Provide general assistance to contractors, residents, or their representatives in the permit application process via phone, email, or in-person.
B. Receives and responds to all Department related inquiries from residents, contractors, or their representatives.
C. Coordinate and schedule all Planning Commission and Zoning Hearing Board hearings. Correspond with Board members, applicants, applicant’s representatives, residents, and employees as necessary to ensure clarity throughout the hearing process.
D. Maintain accurate filing and documentation and perform/maintain all related data entry for Code Enforcement, Permitting, and Planning Commission/Zoning Hearing Board.
E. Assist Code Official in budgetary and expenditure tracking related to the Department.
F. Attend Zoning, Planning, and Code meetings when requested by Code Official/Township Manager and provide any necessary materials.
G. Communicate all issues to the Building Code Official and/or Township Manager in a timely fashion.
H. Assure assignments and projects are completed in a timely and professional manner.
I. Perform additional administrative and/or clerical duties as assigned by the Township Manager.
Desired Minimum Qualifications
Applicant must possess strong communication and organizational skills. Applicant must possess skill level required to properly utilize Township software including, but not limited to,
Microsoft Word, Excel,
Outlook, Adobe Acrobat and Quickbooks.
Applicant must have a valid driver’s license.
Education/Training:
High School Diploma/GED or higher
Experience:
Experience working in a municipal setting preferred.
Experience with municipal, or other business, bookkeeping preferred.

● Copy machine
● Postage machine
● Fax machine
● Calculator
● Other equipment/tools as may become available and deemed useful.
Physical Abilities
While performing the duties of this job, the employee is frequently required to sit and talk or hear. The employee is frequently required to use hands to finger, handle, or operate objects, tools, or
controls; and reach with hands and arms.
Specific vision abilities required by this job include close vision and the ability to adjust focus.
